Duties: 

The Executive Assistant role at The Nanny Loft provides high-level administrative support directly to the Founder/President, playing a key role in ensuring the smooth operation of daily business activities. This is a part-time, paid position with a flexible schedule to be determined collaboratively between the candidate and supervisor upon hiring.

Responsibilities include a wide range of administrative tasks, such as coordinating inter-agency communications, maintaining employee and client profiles in our scheduling platform, assisting with recruitment and onboarding, and supporting special projects as assigned or initiated. This is a remote position with occasional opportunities for in-person collaboration as needed.

Key Executive Assistant Responsibilities:

  • Manage calendar scheduling, email correspondence, and internal communications on behalf of the Founder/President.

  • Prepare reports, presentations, and other documents to support executive decision-making and strategic initiatives.

  • Coordinate logistics for meetings, interviews, and other organizational events.

  • Track and organize key project timelines and deliverables to ensure deadlines are met.

  • Conduct research and gather data to support initiatives and decision-making.

  • Assist with maintaining organizational documents, standard operating procedures, and records.

  • Liaise with internal team members and external partners to support day-to-day operations and long-term goals.

Preferred Qualifications:

  • One year of experience as an administrative assistant or in a similar role.

  • High school diploma or GED.

  • Legally authorized to work in the United States.

  • Ability to multitask and prioritize duties effectively.

  • Strong problem-solving skills and adaptability in unexpected situations.

  • Effective verbal and written communication skills in English.

  • Demonstrate sound moral character and a kind, professional demeanor appropriate for supporting staff and interacting with families.

  • Commitment to the mission, vision, and core values of The Nanny Loft.
